Committees and Functions

All committees and functions welcome volunteers to assist or to coordinate. If a committee or function has a contact individual listed, e-mail the individual to let that person know of your interest. If no contact is listed, contact the Board through the Property Manager.

Architectural Control

Compiles and maintains list of properties in violation of the architectural guidelines; refers properties to Board for discussion of enforcement steps. Required according to the By-Laws.

Architectural Guidelines Update

Reviews existing guidelines and drafts an updated version for Board approval, and for Association-wide approval.

Activities: Draft completed. View draft of the revised architectural guidelines.

Architectural Requests

Reviews requests for architectural changes and approves or disapproves of them. Refers unusual cases to Board for discussion and decision.

Works with the Board to determine spending priorities.

Collection Policy Revision

Drafts a revision of the collection policy and secures Board approval.

Activities:

Landscaper Liaison

Serves as contact person for the Association when communicating with landscaper. Walks through development to note outstanding items and informs landscaper of delinquencies.

Landscaping Review/Design

Coordinates input from interested parties on the status of landscaping, including tree removal, tree and shrub replacement, entrance bed improvement, soil erosion prevention, and develops proposals for improvement for Board approval. Works with Property Manager to generate proposals for bid, where needed.

Maintenance Guidelines Drafting

Drafts guidelines for how to maintain the townhomes - stating what is an acceptable level of wear and tear in different areas.

Activities: Draft submitted for Board approval April 2002. Draft approved April 2002. Board voted to mail document in Spring, 2003. View the Maintenance Guidelines.

Neighborhood Watch

Coordinates Neighborhood Watch program.

Newsletter

Reports on Association activities on an as-needed basis.

Nominating

Prepares a slate of individuals for election to the Board. Required, according to the By-Laws.

Parking and Other Sign Upgrade

Identifies signs needing replacement; determine minimum signage required to satisfy P.G. County regulations; work with Property Manager on generating proposals for bid.

Activities: County fire prevention department has provided the Association with information on the number of signs needed in the development. Some signs will be removed and not replaced.

Parking Permit and Policy

Reviews existing parking policy; drafts policy for use of parking permits; obtains legal advice on whether policy can be implemented.

Parliamentarian

Guides Board in conducting business in accordance with By-Laws; functions as Board's "expert" on the By-Laws.

Activities:

Property Manager Replacement

Using responsibilities list determined by review committee, puts together proposals and seeks bids for property management. Submits information to Board for review and candidate selection for interview. Arranges for space for interviews of candidates and schedules interview sessions with Board and candidates.

Property Manager Responsibilities Review

Determines what the minimum and desirable property management functions the Association needs; information to be used for future contract negotiations.

Publications Coordinating

Determines publishing schedule for Association mailings to consolidate mailings, and ensures all parties (Board, Property Manager), follow schedule.

Sidewalk Repair

Identifies sidewalk areas in need of repair and reports information to Board. Ideally, this function would be handled by the Property Manager, who on her walk-throughs, would note deficiencies and inform the Board.

Snow Removal Liaison

Communicates with snow removal contractors concerning snow removal operations.

Social/Recreational

Plans social activities for the community.

Yard Sale: advertises yard sale in local papers, designs and distributes flyers to community, coordinates set-up and take-down. The community yard sale date for 2004 has been set for Saturday, June 12, 2004.

Block Party: obtains any needed permits, budget authority, etc.; designs and distributes flyers to community; coordinates acquisition of food, tables, etc.; coordinates set-up and take-down.

Designs and maintains Association's Web page.

Activities: A fully-developed and up-to-date Web site has been developed by Iris Mars; however, since the Board has been unable to focus on Web development efforts, the site has not been put to "official" use.
